Replace Spreadsheets with a Bespoke Database

    Can a database replace Excel?

    In many cases, yes. Excel is an excellent tool for calculations, analysis and smaller datasets. However, as businesses grow, spreadsheets often become difficult to manage because the same information is entered multiple times, different versions are shared between staff and reporting becomes increasingly time-consuming. A bespoke database stores information in a structured, relational way, meaning customer details, orders, invoices and other business data are all connected rather than duplicated across multiple spreadsheets. The result is a single source of accurate information that is easier to maintain and far more scalable as your business grows.
    Once the system has been built you will end up with a clean, easy to use system, this also helps cut down new staff member training issues.

    Will I lose my existing spreadsheet data?

    In most cases, no. Existing Excel data can usually be imported into the new database, preserving valuable historical information.
    Occasionally, we recommend treating older spreadsheets as archive data rather than importing everything. This is usually when the existing spreadsheet structure has grown organically over many years and contains duplicated or inconsistent information. Rather than reproducing those problems in the new system, it's often better to build a cleaner database and import only the information that will continue to be useful.

    How long does it take to build a bespoke database?

    Every project is different, but many bespoke database can reach Beta version within 6-10 weeks.
    With Small systems this may drop to as little as a few weeks.
    The overall timescale depends not only on development but also on client feedback and testing. Projects where clients review each stage promptly generally progress much more quickly than those where feedback is delayed.

    Can my existing processes be automated?

    Yes. One of the biggest advantages of a bespoke database is the ability to automate repetitive tasks.

  • updating stock levels
  • producing scheduled reports
  • reminding staff about outstanding work

    Is a bespoke database better than off-the-shelf software?

    Not always.

    If an off-the-shelf product already meets 90–95% of your requirements, it may be the most cost-effective option.

    However, many businesses discover that their processes don't fit standard software particularly well. They end up changing the way they work to suit the software, using spreadsheets alongside it or relying on manual workarounds.

    A bespoke database is worth considering when your business has unique processes that provide a competitive advantage or when existing software cannot efficiently support the way your organisation operates.
